Corporate Subscriptions Guide

Overview

In this guide, we will show you the screens and functionalities that support corporate subscriptions.

 

When selecting the required catalogue item, Affino enables you to then assign the corporate subscriptions either to the purchaser, set them to be automatically assigned or leave them as unassigned for a manual setup of subscriptions. 

 

In addition, there is an option to copy subscribers from a previous order, making it easy to manage large numbers of subscribers.


Pro Forma Orders: Customer Account and Line Items

Control > Commerce > Pro Forma Orders > (Add)

 

When creating a Pro Forma Order and selecting the required subscription catalogue item, if the quantity is greater than 1, an additional dropdown menu will appear, providing options to: 

  1. Assign All To Customer
  2. Account - On Demand
  3. Account - Auto Assign
  4. Copy From Order
  5. Unassigned

 

 

Note: If Quantity is set to 1, the subscription will be assigned to the purchaser.

 

1.- Assign All To Customer

 

When the order is created, all associated subscriptions are assigned to the customer

 

2.- Account - On Demand

 

Selecting this option will create the order with associated subscriptions and also a row in the Assign Paid Subscriptions panel within the Account. This means that anyone registering on the site with matching email domain name or IP address (set up on the Account) will receive one of the subscriptions available.

 

3.- Account - Auto Assign

 

Selecting this option will create the order with associated subscriptions and also a row in the Assign Paid Subscriptions panel within the Account. The auto assign scheduled task is run every 5 minutes to assign contacts on the account with a valid subscription.

 

4.- Copy From Order

 

This option copies the subscribers from a previous order line item. Where there are fewer subscribers on the previous order, the remaining subscriptions will be unassigned. Where there are more subscribers on the order, the subscribers are selected in chronological order.

 

If you select this option, a second Order Line Item popup selector will appear to the right of the Subscription Assignment dropdown field:

 

 

Click on the field to display the available order line items:

 

 

 

If you select this option, the Delivery Address for each subscriber will be copied over from previous subscription (assigned from the order being copied)

 

Note:

  • If the order has fewer subscribers than this Pro Forma Order, we will set additional subscriptions as unassigned
  • Where there are more subscribers on the order, these will be assigned chronologically. These can be updated manually once the new order is created

5.- All Unassigned

 

This option creates the order with all associated subscriptions unassigned. These can be later assigned manually once the order is created via the subscription.

 

If the above is selected, a flag will be set against each subscription that it is unassigned.

 

These can be assigned manually at a later date by accessing the subscription and selecting a different subscriber.

 

You can see the Unassigned subscriptions on the Order detail:

 

 

You can also see the Unassigned subscriptions on the Subscriptions listing screen:

 

 

 

Note: The Customer will still be tied to each of the subscriptions.

 

Assigning the Pro Forma to the Account

 

Remember to associate the pro forma and subsequent order to an account, you must set this on the Customer Account field under the Customer Info panel.

 

 

If this option is selected, a new row will be added to the Assign Paid Subscriptions panel within the Account selected on the Pro Forma Order, per line item.

 

Each subscription will then be assigned automatically for users registering with a matching email domain selected on the Account.

 

 

Subscription Start Date:

 

Use this option to set the Start Date for all the subscriptions.

  • If the Subscription Start Date from the Pro Forma Order is set, this date will be used on the Assign Paid Subscriptions panel
  • If the Subscription Start Date is not selected, the Order creation date is used as the Subscription Start Date

 

 


Accounts: Subscriptions by Domain and IP Address

When corporate Users access Affino they can be auto-assigned a subscription if available under their Account.

 

Control > Social > Accounts > Subscriptions

 

 

There are several ways to auto-assign a corporate subscription to a user, this can be done via:

  • Account Email Domain
  • Restrict to IP Addresses
  • Validate IP Address On Login
  • Auto Approve Users

Account Email Domains

 

Enter in a comma separated list of email domains (i.e. the part after the @ sign, for this account). This will be used to assign users to this account and ultimately to also auto assign subscriptions if applicable.

 

> Please be aware that if you have enabled the Account Email Domains option, only users with a matching email domain and are associated to the account will be assigned a subscription.

 

Note: users with matching emails for these domains will be sent a double-confirm email to confirm their ownership of the email address they are registering with, whether it is enabled on the Registration Profile or not.

 

Once a user is associated with an account with a matching email domain then they can't change their email address from the account, this can only be done by an administrator. 

 

Also note that users are not affected by the Restrict To IP Addresses in this scenario, so they can register from any IP address / IP Range.

 

Also, please bear in mind that if you set (i.e.) affino.com and email.affino.co.uk:

 

 

This will match emails: 

not:  

Restrict To IP Addresses

 

Enter a space separated list of IP Addresses or IP Range to restrict registration and subscription assignment (if applicable) from these IP Addresses.

 

This will prevent registration to those located remotely or from different IP Addresses. 

 

Note: users matching an Account Email Domain will not be restricted to be located within these IP Addresses / Range.

 

In essence:

  • If the user matches the Account Email Domain, Affino ignores the IP Address check and grants relevant access (i.e. users with the correct email domain do not need a check on the IP Address)
  • If they are not on the correct domain, but login from a matching IP Address, Affino grants access

In regards to IP Ranges, these need to be provided in the CIDR notation.

 

As an example, the range format for (191.82.166.0 - 191.82.166.212) would be 191.82.166.0/22.

 

You can calculate the IP range here.

 

Logging in from a different IP address

 

A user who logs in with a different IP address will lose their subscription/s if they dont log in using the companys' IP address.

 

If the user had a Paid subscription it will be unassigned.

 

If it was a Free subsscription, then it will be are deleted.

 

Validate IP Address On Login

 

Select to enforce logging in via authorised IP Addresses. set in the Restrict To IP Addresses field. Subscriptions will also be assigned if they don't already have the subscription access, i.e. they were previously registered before the auto subscription assignment was enabled.

 

Auto Approve Users

 

Select to automatically approve the user if 'Require Administrator Approval' is selected on Registration Profile or Member Type(s). This will upgrade the user to the Granted Security Clearance, add security group from Member Type, send the approval notification email, removes them from Pending Users and trigger Added to Security Group conversion events.

 

Please note: all users who register using an Account Email Domain will need to double confirm.

 

Once they double confirm, the User account will be activated.

 

Until then, the user will appear on the Pending Users screen.

 


Accounts: Assign Paid and Free Subscriptions

 

Paid Subscriptions

 

Control > Social > Accounts > Assign Paid Subscriptions

 

If there is an existing order that you wish to associate to an Account, you can do so by means of the Assign Paid Subscriptions functionality.

 

 

Click on the Line Item field and search for the desired order line item:

 

 

Once selected, the rest of the order details will appear on screen:

 

 

After this, the available subscriptions will be assigned to the accounts’ contacts, either by On-Demand or Auto-Assign.

 

Note: you cannot extend subscriptions for a Paid Order via the Account.

 

Assign Paid Subscriptions via Pro Forma

 

If using the 'Account - On Demand' or 'Account - Auto Assign' options on the Pro Forma Order, you will see a new row created on the Assign Paid Subscriptions panel on the Account.

 

The Zone and and Assignment Type set will match the Pro Forma Order.

 

Free Subscriptions

 

Control > Social > Accounts > Assign Free Subscriptions

 

 

If you wish to assign a certain amount of free subscriptions to an account and have them assigned to its contacts, then navigate to the Assign Free Subscriptions panel and set the following:

  • Zone
  • Subscription Plan
  • Start Date
  • End Date
  • Asignment Type (On-Demand or Auto-Assign)
  • Max Subs (the amount allocated to the Account)

 

 

The Free subscriptions will be assigned to the accounts’ contacts, either by On-Demand or Auto-Assign.

 

On-Demand VS Auto-Assign

 

Account - On Demand:

  • Selecting this option will create the order with associated subscriptions and also a row in the Assign Paid Subscriptions panel within the Account. This means that anyone registering on the site with matching email domain name or IP address (set up on the Account) will receive one of the subscriptions available.

Account - Auto Assign

  • Selecting this option will create the order with associated subscriptions and also a row in the Assign Paid Subscriptions panel within the Account. The auto assign scheduled task is run every 5 minutes to assign contacts on the account with a valid subscription.

Auto Assign scheduled task

 

The auto assign scheduled task does not restrict users who have a bounced email.

 

As long as the user is associated to the Account under the following conditions:

  • user must be a full account
  • not suspended
  • can't be pending
  • cant be archived
  • user code must be 10,000+ (these are reserved codes for system)

Note: the schedule task only checks accounts with active subscriptions.

 

If the subscriptions' End Date is in the past (i.e. 23-Dec-2022) the schedule task will not assign any subscriptions, even if there are some left over (i.e. Max Subs 100 and Assigned 70).

 


Using Auto-Assign and On-Demand

 

You can set a Pro forma to Auto-Assign so that the existing Contacts (associated to the Account) can get a subscription.

 

 

If you wish, you can change the Assignment Type for that Paid order on the Accuont (Account > Assign Paid Subscriptions) to On-Demand.

 

 

On-Demand will make future registrants inherit a subscription, whilst the previously registered Contacts will have a subscription since the Assignment Type was set to Auto-Assign.

 

Please note: even if the Auto-Assign option remains, all contacts that are created (as registered users or manually via the Control Centre) and associated to the Account, whose email domain is the same as the Account Email Domain, will inherit a subscription.

 

The users email domain must be the same as the Account Email Domain.

 


Digital Assets tab for Accounts and Contacts

Control > Social > Accounts > Tabs > Digital Assets

 

Once the accounts’ contacts have been assigned a subscription they will appear on the Digital Assets tab on the account record.

 

Control > Social > Contacts  > Tabs > Digital Assets

 

The assigned subscription will also appear on the Digital Assets tab on the contact record:

 

 


Subscriber Export

Control > Commerce > Subscriber Export

 

> Order No.

> Sub Order Type

 

Use the Order No. and Sub Order Type fields on the Subscriber Export in order to export subscribers who are associated to a corporate subscription (i.e. generated from a Pro Forma Order with multiple subscriptions on the same order).

 

> Include Unassigned Subscriptions

 

Use this option to include unassigned subscriptions to the export results.

 

 


Contacts

Control > Social > Contacts

 

> Sub Order Type

> Subscription Format

 

The Sub Order Type filter allows you to find corporate subscription members more easily.

 

Use the Subscription Format option to filter by Print and/or Digital subscription.

 

 


Subscriptions

Control > Commerce > Subscriptions

 

> Include Unassigned

> Sub Order Type

 

In addition to the Purchase Type filter (Paid/Free/Unpaid), the Unassigned Subscription checkbox helps you to filter for Paid/Free assigned/unassigned subscriptions.

 

The Sub Order Type filter is also present.

 

Action: Unassign

 

You can Copy / Delete a subscription on the listing screen, but you can also manually unassign subscriptions:

 

This action removes the subscriber from the selected subscriptions and sets the Unassigned flag on the subscription.

 

Note: this also removes security access for the unassigned users.
