How to configure the Advanced and Simple Edition template

Overview

We have introduced the ability to present entire edition directories, including both advanced and simple editions in Affino.

 

Above you can see an advanced edition, which can be used to showcase all the key elements of your edition, whether print or digital, including:

  • The Title
  • Cover
  • Introduction (wysiwyg)
  • Document download (with the option to have permission based lead generation)
  • Multiple contact lists
  • Any number of company lists (simply select contact lists and the accounts will be featured)
  • The articles featured in the edition (filter the articles and select the highlight ones)
  • Featured highlights of each on the overview tab

There is considerable flexibility in how to present the cover and introduction, and in how you list out the content. You define the tabs and tab order, what lists you want to feature and how bold the presentation is going to be.

Set up the Editions Profile

Firstly, start by creating an Edition Profile. This is where you configure the templates. As this is associated with your Edition Management, you can define what print and/or digital product types they are, e.g. Issue, Supplement, Manual, etc.

 

Control > Publish > Edition Profiles

 

Here are some of the key fields, with help text, that you will need to configure the Edition Profile:

 

  • Name - The name of the Edition Profile you wish to create, for example, Issue, Supplement, Manual.
  • Presentation Style - Select the type of template, A Simple Edition Listing includes a search bar with up to 2 filters, an Advanced Edition Listing allows you to create tabs for listing contacts, accounts and articles.
  • Scoped Topic Filters - Select up to 2 filters for filtering Edition contacts. These will override the Scoped Topic Filters setting on the Section. The first filter will be used to segment the lists of contacts in the Edition detail.
  • Region Filter - Select to filter the edition Contacts / Accounts by Country or Country Groups. If selected, this will be used in place of the second Topic Filter.
  • [ ] Active - The Edition Profile can be inactivated, i.e. it will not be available for use later.

If you have selected Advanced Edition Listing in the Presentation Style dropdown, an Advanced panel will be displayed at the bottom of the screen, with rows, which represent the tabs that you wish to have and the Tab types. It has two columns, Name, which is the Name of the tab and Row Types, which is a dropdown field with the following:

  • Text - Text only tab which you can enter on the Editions
  • Contacts - Display Contacts using the Contact List
  • Accounts - Display Accounts associated with Contacts from a Contact List
  • Articles - Display a list of Articles from a Section
  • Link - Use a custom tab to link off to a page

 

Create a Channel

Once you have set the Edition Profile, you will need an Edition type Channel.

 

Control > Structure > Channels

 

Note: You can use the Default Media Library Channel option on the Editions Channel so that the archived PDFs can be streamed and concealed for secure storage and delivery.

 

Create your Edition

Editions is for you to manage sign off, delivery and circulation dates for print and digital editions. With the new introduction of the display screen, we have introduced a number of configurations.

 

Control > Publish > Editions

 

Here are some of the key fields, with the help text, that you will need to configure the Edition display screen:

  • Name - The name of this Hardcopy Edition. For example, The Environmentalist May 2020 Issue
  • Screen Name - Enter a unique, SEO-friendly Screen Name for the edition URL. This is automatically generated from the Name field. Note: If you change the Edition Name field, this will automatically update the screen name so should you wish to maintain the same screen name, ensure you enter it back in as the original screen name
  • Year Of Publication -Select the year of publication for this edition
  • Product Line - The Product Line (or Range) this Edition belongs to. A Product Line is a series or range of products on offer by Business Unit
  • Country - Select a country, used to identify a country-specific edition
  • Edition Profile - Select Edition Profile, for example, Issue, Supplement, Advertisement
  • Format (Digital - Print - Digital and Print) - Select to indicate whether this edition is a print and/or digital version
  • Issue Number - The Issue number for this Product. If you are adding a Edition you can enter a comma separated list of issue numbers to create multiple issues. All issues will be created with the same details besides the Issue Number which will be unique to each. Once created the issue number is fixed. Error Handling - if a edition of the same edition type exists then show the error - A Edition already exists with the same Edition Type and Issue Number, please enter a different issue number
  • Parent Edition - Select the Parent Edition if this is a Supplement, Inset etc. that accompanies a higher level product
  • Subscription Plan - Select the Subscription plan that this edition is available to. At the point when the Customer Delivery Date is hit, the circulation will be calculated and assigned based on the active subscribers at the time. Users who subscribe subsequent to the Customer Delivery Date are added to the circulation for the latest edition for any given product line that they subscribe to
  • Topics - Topics or Keywords which are to be associated with this Edition. This provides the ability to tag the Edition and subsequently search for them in Affino elsewhere
  • Pages - This denotes the number of pages this Edition will have
  • Gatefold - This will automatically add the Gatefold to the Flatplan if selected
  • Poly-Wrap - This will automatically add the Poly-Wrap to the Flatplan if selected
  • Cover Wrap - This will automatically add the Cover-Wrap to the Flatplan if selected
  • Submission Deadline - Select the date for final submission of content
  • Sign-Off Date / Final Deadline - The Sign-Off Date / Final Deadline for this Edition
  • Online Date - Select the date to publish this edition online
  • Press Date - The date this Edition goes to Press i.e. to be printed
  • Internal Delivery Date - The Internal Delivery date for this Edition
  • Circulation Date - Please select the circulation date. This date will be used to calcuate the circulation reach
  • Customer Delivery Date - The date the Edition is scheduled to arrive on the Customer's Desk
  • Create Contact List - Select to create an associated contact list for this edition
  • Live - Select to make this Edition available for selection
  • Archive - Select to archive this edition which will set it to non-live and remove it from the filters and edition selectors
  • Section - Select the Edition section you would like this item to appear in
  • Multi Display - Select additional Sections to display this Edition
  • Edition Title - Enter a title for this edition that will be displayed on the public side. If left empty, the Name will be used
  • Thumbnail - Select a thumbnail image used on the Edition listing screen
  • Header Image - Select a banner image used on the Edition detail screen
  • Teaser - Enter Teaser text for this edition, displayed on the Edition listing screen. If empty, the Teaser on the Section will be used
  • Main Image - Select Main Image for this Edition
  • Media - Select the PDF for the media item. This can be used for reference, and is used is used in custom subscription My Accounts
  • Additional Search for the Edition Search / Text *

     

    - Affino supports extended text search on media to support searches within the digital archive content.

     

    To enable this you must:

     

    Click on the Media option

    Click on Upload

    Click Upload again, select the file and click on Send

    On the 'add Media Item' screen, search for the Additional Search Data panel

    Enter the desired text (you can store lengthy text as there is no character limit)

    Click on Save

     

    NOTE: Enabling extended text search requires investment in an additional archive search service.

     

  • Generate Thumbnail And Main Image From PDF - This will automatically generate Edition Thumbnail and Main Image from the PDF cover page
  • Article Topic Filters - Select the topics used to filter articles for this edition
  • Sort Order - Sort the edition listing screen. This will only be used if listing the Editions manually by Sort Order as opposed to Reverse Chronological, Alphabetical, etc
  • Security Clearance - Select a Content Security Right with which to restrict viewing access to this Edition

If you have Text tab type rows on your Edition Profile, you will see the following:

  • Main Body - Enter the main text to display within the Text tab on the edition detail screen.

 

If you have Contact tab type rows on your Edition Profile, you will see the following:

  • Contact List - Select the contact list to display within the Contacts tab on the edition detail screen.
  • Featured Contacts - Select the Contacts to be featured on the edition. These will be displayed on the first Text (Overview) tab within the advanced template.

 

If you have Account type rows on your Edition Profile, you will see the following:

  • Contact List - Select the Contact List to display the Accounts which belongs to the Contacts within the selected Contact List.
  • Featured Contacts - Select the Contacts which its Accounts will be featured on the edition. These will be displayed on the first Text (Overview) tab within the advanced template.

 

If you have Articles tab type rows on your Edition Profile, you will see the following:

  • Section - Select the Section containing the articles to be listed within the Articles tab on the edition detail screen.

 

If you have Link tab type rows on your Edition Profile, you will see the following:

  • Link - Enter the Link to be listed within the Link tab on the edition detail screen.

 

Set Daily Edition Download Limit

 

It is now possible to set daily download limits on the PDFs within the Edition detail template in order to reflect the daily download limit set on the Media Library Profile.

  • Control > Settings > Media Library Profiles > (Create / Edit) > Edition Daily Download Limit

If this is enabled, a message will be displayed if the user has reached their daily limit.

 

You can also include the Security Clearance to the template as it is now possible to secure Editions with a Content Security Right.

 

Fields:

 

Limit: enter the Daily Download Limit value

Content Security Right: set the security for the edition download

Delete Row: for selecting a row(s) and deleting (by clicking on 'Delete Selected')

 

NOTE: If you wish to set a limit for all users, you can leave the Content Security Right blank.

 

If you wish to set a limit for specific users, you can use the Content Security Right to target them (you can add up to 3 levels).

 

If you wish to allow unlimited downloads for specific users, you can enter the value of 0 under Limit and select the desired Content Security Right. Remember this is only valid for Editions download.

 

Rules:

  • The Edition download button disappears once you reached the daily download limit set on the media library profile
  • The download button is replaced with a message stating to the user that they have reached their daily download limit
  • The security clearance works by not allowing users to access the edition detail page if they don't have the right content security right
  • If a user has more than one matching security rights from the daily download, has the highest download allowance

Once the Edition is set up correctly and saved, you will be able to click on the Preview icon on top of the bar to take you to the display side page.
