Magic Links Guide

Overview

 

Magic Links can be sent to recipients to access the site for a fixed period of time without the need to manually log in. 

 

This is useful for single access areas of your site such as an event or special promotional hub.

 

You will need to:

 

1.- Go to the Magic Links screen

2.- Click on Add and set a Name for the Magic Link

3.- Select the appropriate Zone

4.- Select a Type

5.- Enter a full URL for users to be redirected to

6.- Set text for the Login Notice

7.- Set the Access Timeframe and Activation Timeframe

8.- Set a Sender, Subject and Message

9.- Select the granted Security Group

10.- Set to Live and Save

 

This guide will show you in detail how to set up magic links for individual and corporate users.

 

Magic Links Types

 

Magic Links can be applied to individual contacts or to corporate users.

 

Individual and corporate magic links can be sent to specific contacts(s) and/or the users in a Contact List.

 

Although corporate magic links have an added option: Simultaneous Sessions.

 

This option allows you to define the number of simultaneous device sessions per user that can use the same Magic Link.

 

This means a corporate magic link can be shared with others within the same organisation.

 

Note: For individuals, the Simultaneous Sessions setting on the Login Profile (Control > Security > Login Profiles > (Add/Edit) > Session Limit > Simultaneous Sessions) will be used as default.

 

Setting up a Magic Link

 

Control > Social > Magic Links > (Add/Edit)

 

Fields:

 

Main

  • Name: Enter the name of the Magic Link.
  • Description: Enter a description for this Magic Link.
  • Zone: Select the zone for the Magic Link sent to the recipient. The Zone Domain (primary domain) will be used to create the link. Note: The Redirect URL will need to match this domain otherwise the user will not be automatically logged into the Redirect URL.
  • Type: Individual or Corporate
    Select to send a Magic Link to individuals or a corporate contact that can be shared to a group of users
  • Contact: Select the Contacts who will receive this Magic Link, Note: Users with 2FA enabled will not be sent this Magic Link.
  • Contact List: Select the Contact Lists who will receive this Magic Link
  • Simultaneous Sessions (Corporate): Select the number of simultaneous session devices that can use the same Magic Link for corporate type. Typically this would be 2-3 sessions per user. Note: For individuals, the Simultaneous Sessions setting on the Login Profile will be used as the default.
  • URL Redirect: Enter the full URL the user will be redirected to upon auto-login. Note: Ensure the security group on this Magic Link matches where you wish the user to be redirected otherwise they will not gain access and be sent back to the Login screen
  • Login Notice: Enter the text instructions displayed on the login screen when the Magic Link is clicked
  • Access Timeframe: Date and Time    
    Select Start and End Date for the date range and time for which this Magic Link will be active
  • Access (Hrs): Enter the number of hours the Magic Link provides access to the secured content, from the time they click the 'Access Now' button. Access is granted if within the Access Timeframe
  • Access (Days): Enter the number of days the Magic Link provides access to the secured content, from the time they click the 'Access Now' button. Access is granted if within the Access Timeframe.
  • Activation Timeframe: Enter the timeframe the Magic Link is active from the time the email is sent to the time the user clicks the 'Access Now' button on the Magic Link (Login) screen. This is a security measure and can be kept relative short as a new link is sent if the Magic Link is unused and expired. The maximum timeframe allowed is 30 days

Note: Please only enter a value for Access (Hrs) or Access (Days)

 

 

Test Email Recipients

  • Select the Contacts who will receive this test Magic Link, Note: Users with 2FA enabled will not be sent this Magic Link. Note: Users must be contacts within the CRM as they will be sent a link to auto-login. There is also a maximum limit of 20 test recipients first taken from the Contact selector and then the Contact List.
  • Contact List: Select the Contact List who will receive this test Magic Link. Note: Users must be contacts within the CRM as they will be sent a link to auto-login. There is also a maximum limit of 20 test recipients taken first from the Contact selector and then the Contact List.

 

Message Panel

  • Sender: Select the message sender.
  • Subject: Enter the subject of the message.
  • Message: Enter the message to be sent to selected recipients, the following placeholders can be used, [_First_Name_], [_Last_Name_], [_Magic_Link_], [_Access_Timeframe_], [_Access_Hours_], [_Access_Days_], [_Activation_Timeframe_].
  • Auto-Send: Select to automatically send the Magic Link to new contacts added directly or to the Contact List on the Magic Link. This auto-send will only be activated after the first send.
  • Resend Message Subject: Enter the subject of the resend message.
  • Resend Message: Enter the message resent to recipients where a link has previously been used or has timed out on the login screen, the following placeholders can be used, [_First_Name_], [_Last_Name_], [_Magic_Link_], [_Access_Timeframe_], [_Access_Hours_], [_Access_Days_], [_Activation_Timeframe_].

 

Security

  • Security Group: Select the Security Group the user will be granted within the Access Timeframe. Note: The Security Group must only contain Content Security Rights and display-side System Security Rights, users will not have access to the Control side. It is advisable to create a separate Security Group for Magic Link access so that it is not mixed with standard registration/login access.

 

Publication

  • Live: Select to enable this Magic Link.

 

Text Items

 

There are several text items that you can change to your liking, most of which are  on-screen messages.

  • Access Now
  • Activation Timeframe - Days
  • Activation Timeframe - Hours
  • Activation Timeframe - Minutes
  • Error building Magic Link
  • Error getting message body
  • Error getting sender
  • Login Timer
  • Magic Link Security Group Error
  • Magic Link Simultaneous Session limit reached
  • Magic Link User has 2FA enabled
  • Magic Link for user already used
  • Magic Link for user does not exist
  • Magic Link for user is not in contact list
  • Magic Link for user is not selected as Contact
  • Magic Link has expired
  • Magic Link is not live
  • Magic Link is not yet active
  • Magic Link not valid
  • Magic Link user is not active

 

Send Logic

Please take into the account the following logic when a Magic Link is sent:

  • The Magic Link is not sent to Contacts or users on Contact List that have 2FA enabled
  • Affino will output a message notification displaying which users have not been sent the Magic Link
  • When a user automatically logs in with the magic link, Affino saves the following data (User Code, Magic Link Code, Date and Time of send and Last Access Date/Time)
  • Affino sends a notification after the Magic Link has been processed, listing any users who have not been sent the Magic Link
  • Contacts and users in the Contact List(s) will still have access when using the magic link, even if they are removed from the Magic Link thereafter

 

Magic Link Security Groups

 

Affino displays the Magic Link Security Rights a user has obtained (similar to  Subscription Security Rights) on the Contact and User Security detail screens.

Conversion Event

Control > Promote > Conversion Events > Trigger Event > Magic Link Used

 

Affino can track each time someone is logged in successfully using the magic link by means of a conversion event.

 

 

Note: Only magic links from the same zone can be selected for the same trigger

 

The conversion event can be triggered for any magic link or specific(s) magic link(s). 

 

On screen notifications

 

Under the following scenarios, an on-screen notification will appear when a magic link fails for both Individual and Corporate users.

 

If the link is clicked outside of the Active Time Frame: 

  • "Sorry, this link has expired, please contact the administrator for more information."

If the link is not valid (e.g. wrong link, is not Live):

  • "Sorry, the link is invalid, please contact the administrator for more information"

If the link has been used too many uses: 

  • "Sorry, this link has exceeded the number of uses, please contact the administrator for more information"
